How WorkDesk handles information
Effective August 14, 2026. Counting On It Bookkeeping operates WorkDesk and is accountable for the personal information it handles through the service.
Purpose and scope
WorkDesk supports controlled bookkeeping workflows for Counting On It Bookkeeping and authorized clients. Its initial production scope is new, unposted vendor Bills for explicitly configured QuickBooks Online companies.
Information we handle
WorkDesk may handle invoice documents and extracted fields, client and vendor identifiers, account and tax references, approval records, exception notes, source hashes, workflow status, authentication identity, and QuickBooks transaction references. Durable evidence excludes access tokens, application secrets, passwords, and transient signed links.
Why we use information
We use information to provide the authorized bookkeeping service: preserve source documents, extract invoice details, run deterministic financial checks, route exceptions, prevent duplicates, record approvals, create an authorized QBO Bill, verify the result, secure the service, and maintain an explainable audit trail. We limit collection, use, and disclosure to those purposes or other purposes permitted or required by law.
Services and disclosures
QuickBooks Online remains authoritative for accounting records. Microsoft SharePoint preserves originals and governed evidence. WorkDesk controls review, approval, exceptions, and operational status. Intuit, Microsoft, OpenAI hosting, and approved document-extraction or OCR providers may process only the information required for their configured role. Information may be processed outside Canada under the safeguards and terms applicable to those providers.
Retention and safeguards
We retain information only as long as reasonably required for the client engagement, bookkeeping and legal obligations, security, and governed evidence. Safeguards are appropriate to the sensitivity of the information and include client isolation, least-privilege access, encrypted provider connections and storage, fail-closed validation, duplicate controls, audit evidence, and secret exclusion.
Access, correction, and concerns
Subject to applicable law, an individual may ask about, access, or request correction of personal information we control, or raise a privacy concern, through their established Counting On It Bookkeeping service contact. We may need to verify identity. Corrections preserve required historical evidence instead of silently rewriting prior decisions.
Changes and contact
We may update this notice as WorkDesk, its providers, or legal requirements change. A material change will be identified before it takes effect. Privacy questions may be directed to Counting On It Bookkeeping through the established service relationship.
